Privacy Policy

Last updated: October 20, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But here's the deal: we're serious about keeping your info safe. This page breaks down how we collect, use, and protect your data when you work with us or visit our site. We've tried to keep the legal jargon to a minimum.

We're Mystraloria Architecture Studio, based out of Vancouver, BC. We design sustainable buildings and help folks create spaces they'll actually want to live and work in.

This privacy policy covers everything we do with your personal information - whether you're reaching out for a quote, signing up for our newsletter, or just poking around our website. It applies to clients, potential clients, contractors we work with, and anyone who visits our site.

Our details:
Mystraloria Architecture Studio
1250 West Pender Street, Suite 402
Vancouver, BC V6E 2S9
Email: hello@mystraloria.info
Phone: (604) 555-0147

We only grab what we actually need. Here's the rundown:

Info You Give Us Directly:
  • Name, email, phone number when you contact us
  • Project details and property information if you're working with us on a design
  • Billing and payment info for invoicing
  • Any preferences or requirements you share during consultations
  • Feedback or testimonials if you choose to provide them
Stuff We Collect Automatically:
  • Website usage data - which pages you visit, how long you stick around
  • Device and browser info (we're not tracking you personally, just seeing what tech people use)
  • IP addresses and general location data
  • Cookies and similar tracking tech (more on that below)

If you're just browsing, we collect way less than if you're actively engaging with us for a project. Makes sense, right?

We're not in the business of selling data or spamming people. Here's what we actually do with your info:

  • Project work: To design your space, coordinate with contractors, handle permits, and deliver what you've hired us for
  • Communication: Responding to inquiries, sending project updates, sharing relevant info about our services
  • Business operations: Invoicing, contracts, keeping records we're legally required to maintain
  • Website improvements: Figuring out what's working and what's not so we can make the site better
  • Marketing: Occasionally sending news about our projects or services (you can opt out anytime)
  • Legal compliance: Meeting our professional obligations and protecting everyone's rights

We won't use your personal info for anything wildly different without letting you know first and getting your OK.

We don't hand out your info like Halloween candy. But sometimes we need to share it:

Service Providers:

Companies that help us run our business - web hosting, email services, cloud storage, accounting software. They're all contractually bound to keep your data safe.

Project Partners:

Engineers, contractors, suppliers, and other professionals we work with on your project. They only get what's necessary to do their part.

Legal Requirements:

If we're legally required to disclose info (court orders, regulatory requests, etc.), we'll comply. We might also share data to protect our rights or someone's safety.

Business Transfers:

If we ever sell the business or merge with another firm, your data would be part of that transfer. We'd make sure the new owners respect this policy.

We'll never sell your personal information to third parties for their marketing purposes. That's just not how we roll.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately.

Cookies are tiny files that sit on your browser and help us remember stuff - like if you've visited before or what language you prefer. Here's what we use them for:

  • Essential cookies: Keep the site functioning properly (can't really turn these off)
  • Analytics cookies: Help us understand how people use our site so we can improve it
  • Functionality cookies: Remember your preferences and settings

Most browsers let you control cookies through their settings. You can block or delete them, but it might mess with how the site works. Your call.

We also use Google Analytics to track website traffic. Google has their own privacy policy you can check out if you're curious about what they do with data.

Security's a big deal for us. We've got multiple layers of protection in place:

  • Encrypted connections (SSL/TLS) when you're accessing our site
  • Secure cloud storage with regular backups
  • Limited access - only team members who need certain info can see it
  • Regular software updates and security patches
  • Password protection and authentication measures
  • Physical security at our office for any paper records

That said, no system's 100% foolproof. We do our best to protect your data, but we can't guarantee absolute security. If we ever detect a breach that affects your info, we'll let you know ASAP and work to fix it.

We don't hoard data forever. Here's our approach:

Active projects: We keep everything related to your project while we're working on it and for a reasonable period after completion (usually around 7 years - that's standard practice in architecture for legal and professional reasons).

Inquiries that didn't go anywhere: If you reached out but didn't end up working with us, we'll typically keep your contact info for about 2 years in case you change your mind. After that, it gets deleted.

Marketing data: If you've signed up for updates or newsletters, we keep your info until you unsubscribe.

Legal requirements: Some records we're required to keep longer for tax, insurance, or professional licensing purposes.

Once we don't need data anymore, we securely delete or anonymize it.

You've got rights when it comes to your personal info. Here's what you can do:

  • Access: Ask to see what personal data we have about you
  • Correction: Request that we fix any info that's wrong or outdated
  • Deletion: Ask us to delete your data (with some exceptions for legal requirements)
  • Opt-out: Unsubscribe from marketing emails anytime
  • Data portability: Get a copy of your data in a format you can use elsewhere
  • Restrict processing: Ask us to limit how we use your data in certain situations
  • Object: Challenge how we're using your information

To exercise any of these rights, just shoot us an email at hello@mystraloria.info or give us a call at (604) 555-0147. We'll respond within a reasonable timeframe (usually within 30 days).

If you're not happy with how we handle your request, you've got the right to file a complaint with the Privacy Commissioner of Canada or your provincial privacy authority.

Our site might link to other websites - suppliers, professional organizations, project references, that kind of thing. Once you click through to another site, we're not responsible for their privacy practices.

Those sites have their own privacy policies, and you should check them out if you're concerned about how they handle data. We try to only link to reputable sources, but we can't control what they do.

We're based in Canada, but some of our service providers might store data on servers in other countries (like the US). When that happens, your data's subject to the laws of those countries.

We only work with providers who have solid privacy protections in place. Still, it's worth knowing that data stored outside Canada might be accessible to foreign governments under their laws.

Our services aren't aimed at kids under 16, and we don't knowingly collect their personal information. If you're under 16, please don't submit any info through our site without your parent or guardian's permission.

If we find out we've accidentally collected data from a minor, we'll delete it as soon as possible. Parents or guardians who think we might have info about their kid should reach out to us right away.

We might update this privacy policy from time to time - whether that's because of legal changes, new tech, or shifts in how we operate. When we make significant changes, we'll post a notice on our website and update the "Last updated" date at the top.

For major changes that affect how we use your data, we'll try to give you direct notice (like an email if we have your address). It's worth checking back here occasionally to stay in the loop.

If you keep using our services after we've updated the policy, that means you're cool with the changes.

If you've got questions about this privacy policy or how we handle your data, we're here to help. Seriously - don't hesitate to reach out.
